The provincial program assistant will provide administrative and logistics support to the provincial staff of the project. S/he will ensure that the outlined admin and logistics policies and procedures are implemented and followed in the assigned areas and provide support in other tasks as necessary. The Program assistant(s) will report to the provincial lead(s).

 

Responsibilities:

 

  • Provide admin support for day-to-day program office operations and logistics needs (arrangements of travel, lodging, Conferences, Meetings, and Workshops) at provincial level.
  • Book and manage accommodation logistics for at provincial level.
  • Provide support to manage project drivers and vehicles at provincial level (if any).
  • Provide support for routine printing and follow ups with technical team at provincial level.
  • Provide support in office decorum and ensure proper operationalization of office at provincial level.
  • Maintain a good filing system of Admin related document, (travel, lodging, Conferences, Meetings, and Workshops)
  • Organize and facilitate coordination meetings at provincial level.
  • Prepare supporting documents for submission to Finance for timely release of payments.
  • Assist in Collection of quotations and bills/invoices from vendors.
  • Coordinate with project finance and HR staff for timely submissions of information and escalate any questions, as necessary.

 

Desired Qualifications

  • Minimum of bachelor’s degree in Business administration, Logistics, Transportation, or Supply Chain Management, or in a related field.
  • Minimum 3 years of experience (1 year in a similar role) and understanding of logistics operations and practices.
  • Some knowledge of finance and HR procedures expected.
  • Adequate level of IT skills desired.
  • Ability to multitask.
  • Ability to adapt within the working environment.
  • Ability to work in a team setting.
  • Good verbal and written communication skills.
  • Ability to develop and implement logistics plans.
