Job Responsibilities:

Program Development and Expansion:

  • Track and identify funding opportunities from the web.
  • Segregate and circulate funding opportunities based on thematic areas.
  • Web search on funding trends to inform program design.
  • Support in groundwork and background research for proposal development.
  • Summarize experience on thematic areas for specific proposals.
  • Assist in developing sections of proposals.
  • Assist in ensuring proposals meet donor format and requirements.
  • Support in review and editing of proposals.
  • Assist in developing project presentations for meetings and donor visits.
  • Assist Senior Managers in planning and organizing team meetings.
  • Communicate with donors/consultants/staff on behalf of Deputy Regional Director when requested.

Program Documentation

  • Assist in reviewing project reports, including editing, ensuring consistency in information, fulfilling format and grant agreement guidelines.
  • Ensure reports reflect analysis and outcome level information.
  • Coordination with teams for quality content and refining reports.
  • Assist in develop TORs/MOUs for consultants.
  • Ensure payments are made to consultants in a timely manner/follow up with Finance.
  • Assist in editing training brochures and other project materials.
  • Analysis of programmatic data to derive trends and other interesting information.
  • Developing programmatic/Thematic information pieces for organization and donors.
  • Support in note taking for meetings.
  • Assist in developing budgets for regional events/trainings.

Knowledge Management:

  • Coordination with teams for updating project information.
  • Ensure centralized system of information on projects is updated and accessible for staff.
  • Keep project reporting grid updated and coordinate with project teams.
  • Keep Program Information Sheet and mechanism for proposal tracking up to date.
  • Assist in institutionalization of systems and practices.
  • Assist in groundwork of due diligence processes.
  • Organize documentation for donor requirements when needed.
 

Job specifications:

Qualification/Experience:

  • For the position of Program Development Officer, University level degree preferably Masters in humanitarian/development studies or in a relevant discipline and minimum of 3 years work experience in humanitarian/development sector is considered necessary.
  • Good understanding of a range of thematic areas and approaches i.e capacity building; development; Emergencies etc.
  • Knowledge of political, economic and social trends plus a good understanding of the key development and humanitarian issues.

Skills/Competencies:

  • Excellent English writing skills, with some experience in technical proposal and report writing.
  • Ability to develop goals, objectives, indicators, outputs and outcomes etc.
  • Ability to capture lessons learned for reporting purposes.
  • Proactive in communication and information sharing.
  • Able to work with a participatory project design work approach.
  • Skilled at proofing and editing reports/proposals etc.
  • Good communication and coordination skills, and ability to work in teams.
